Terms of Service

1. The service

Roomsked lets a department manage rooms, take and approve booking requests, publish a calendar feed of bookings, and report on room usage. We may add, change, or remove features over time. We aim to keep the service available and reliable but do not guarantee uninterrupted access.

2. Accounts and eligibility

You are responsible for the activity under your account and for keeping your login secure. You must provide accurate information and promptly update it if it changes. You must be able to form a binding contract to use Roomsked, and you agree to use it only for lawful purposes and in line with these Terms.

3. Acceptable use

You agree not to:

• break the law, infringe others' rights, or upload malicious code;
• attempt to access accounts, data, or systems that aren't yours;
• probe, scan, or test the security of the service without our written permission;
• resell or provide the service to third parties except as intended for your department;
• interfere with or disrupt the integrity or performance of the service.

4. Your data and content

You own the data you put into Roomsked — your rooms, bookings, and user records. You grant us a limited license to host, process, and display that data solely to operate and support the service for you. We do not sell your data, run advertising against it, or use it to train AI models. How we handle personal data is described in our Privacy Policy.

5. Fees, trials, and billing

Paid plans and their prices are described on our Pricing page. New accounts may start with a free trial; after it ends, continued use of paid features requires a subscription. Fees are billed in advance for the applicable period and are non-refundable except where required by law. You can cancel at any time, and cancellation takes effect at the end of the current billing period.

6. Cancellation and termination

You may stop using Roomsked and delete your account at any time. Before you go, you can export your rooms, bookings, and users to CSV. After you delete your account, we remove the associated data within 30 days, except where we are required to retain it by law. We may suspend or terminate access if you materially breach these Terms or use the service in a way that risks harm to others or to the service.

7. Third-party services

Roomsked relies on third-party providers (for example, for authentication, hosting, and optional calendar integrations). Those services have their own terms, and we are not responsible for them. The providers that process data on our behalf are listed in our Privacy Policy.

8. Disclaimers

The service is provided "as is" and "as available." To the extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. You are responsible for confirming that Roomsked meets your institution's requirements before relying on it.

9. Limitation of liability

To the extent permitted by law, Roomsked will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits or data. Our total liability for any claim relating to the service is limited to the amount you paid us for the service in the 12 months before the event giving rise to the claim.

10. Changes to these Terms

We may update these Terms from time to time. If we make a material change, we'll update the date above and, where appropriate, notify you. Continuing to use the service after a change takes effect means you accept the updated Terms.

11. Governing law

These Terms are governed by the laws of the State of Delaware, USA, without regard to its conflict-of-laws rules.
